Protecting chama savings from single-member withdrawals

The most common way a chama loses money is one person moving it alone. Digital rules can make that impossible — here's how to set them up.

1. No one approves their own withdrawal

Set the rule that whoever asks for money can't be the one who approves it. In KFOS a withdrawal request needs a different officer to approve it before any money moves.

2. Let the whole group decide on big decisions

For larger amounts, raise the withdrawal as a proposal the members vote on. KFOS records who voted, who stepped aside because they were involved, and the result.

3. Pay out only to named M-Pesa numbers or paybills

Money should leave to a phone number or paybill written on the approved request — not to whoever is holding the phone. KFOS sends the payout by M-Pesa to exactly the target that was approved.

4. Make every shilling visible

Every member should be able to see contributions, withdrawals and the balance at any time. KFOS keeps the chama's books and statements open to its members.

5. Track welfare contributions separately

Keep welfare, savings and project money in separate pots so one can't quietly fund another.
