1. Get your KRA PIN and eTIMS registration ready
Your business needs an active KRA PIN. Register for eTIMS on KRA's eTIMS portal and choose the integration type — a shop using POS software connects through an online sales control unit (OSCU) or a virtual one (VSCU). KRA issues the device details your POS uses to sign invoices.
2. Set the right tax on each item
Every item must carry its VAT class — standard rate, zero-rated or exempt. In KFOS you set this once per item, and every receipt applies it automatically.
3. Connect your POS to eTIMS
Enter your eTIMS details in KFOS (Shop settings → eTIMS). KFOS then sends each sale to KRA, gets back the fiscal receipt number and signature, and prints the KRA QR code on the receipt so a customer can verify it.
4. Keep selling when the network drops
If the internet is down, KFOS queues the invoices on the device and sends them to KRA when the connection returns, so your till never stops.
5. Returns: issue a credit note, never delete
A sale already reported to KRA can't simply be deleted. Refund it with a credit note that references the original invoice — KFOS does this when you process a refund or void.
6. Check your records
Compare your daily Z report with the invoices transmitted to KRA, and follow up any invoice that is still queued.
